Parent app privacy policy
Last updated: 15 October 2026
This policy covers the Kweneng International parent app and its parent portal services, operated by Kweneng International Secondary School. The app helps parents and guardians access information about children linked to their school account.
Information used by the service
- Account details: your name, email address, phone number, relationship to a student, account identifiers and password credentials. Passwords are stored as hashes on the server.
- School records: linked students’ names, photos, profiles, emergency contacts, attendance, behaviour, academic results, awards, homework, library records, fee balances and receipts.
- Communications: messages to staff, absence notices, announcement acknowledgements and other information you submit. Please avoid including unnecessary sensitive information.
- Technical information: authentication tokens, notification device tokens, app/device information needed for notifications, and server access and security logs, which may include IP addresses and request times.
How information is used
We use this information to verify parent access, link authorised accounts to students, provide school services, communicate with families, send requested notifications, maintain accurate records and protect the service against misuse. The app is intended for parents and guardians.
Service providers and disclosure
Authorised school staff and service providers supporting the portal process information as needed to operate these services. Google Firebase Cloud Messaging processes device and installation identifiers to deliver push notifications. Notification content may be visible on your device’s lock screen, depending on your settings. Hosting and messaging providers may process information outside Botswana.
We may also disclose information where required by law or necessary to protect the rights and safety of students, families and the school. Contact the school for details about service providers and access to your information.
Device storage and security
The app connects to the school service using HTTPS and stores sign-in credentials in secure device storage. Some school information is cached on your device for offline access. Signing out clears the app’s cached portal data. Documents you download or share may remain on the device or in another app until you remove them. Protect your device and avoid sharing your sign-in details.
Your choices
You can manage notification permission in Android settings, sign out, request corrections from the school, or request deletion of your parent account. Uninstalling the app does not delete your server account.
Account deletion and retention
Request deletion of your parent account and associated data. You do not need the app installed to make a request. The school verifies account ownership and completes account-deletion requests within 14 days of verification.
Deletion covers the parent login, parent account profile, student-access links, notification registrations and associated app data, except school records retained under the schedule below.
Deleting a parent account does not withdraw a child from school. Parent login details and app-access data are deleted as described above; school records follow these retention periods:
- Academic information: kept for up to 25 years for verification purposes.
- Financial data: retained until there are no pending fees.
- Other non-academic data: not retained once the student leaves the school.
- Backups: made daily, with older backups retained for up to 7 days. Data removed from the active system may remain in those older backups until they expire.
School records retained under this schedule remain restricted to authorised access. When responding to a deletion request, the school will explain which records are retained and the applicable retention period.
Contact and changes
For privacy questions, correction requests, or details of retention periods, email admin@kwenenginternational.com. Never send your password or parent invitation code.
We will update this page when our practices change. The date above identifies the current version.
